  2. Give the reply an owner and a backup.
  3. Fix a specific gap before comparing new software.

THE SHORT ANSWER

Start here.

Follow an inquiry from your website to the person who replies. Clarify ownership and fix the smallest gap, then review a real week of work before choosing another tool.

Start where the customer starts.

Open your website on your phone. Can you tell what the business does, who it helps and how to ask a question? Follow that next step yourself. A clear contact route can be a more useful first priority than another dashboard.

Follow one inquiry all the way through.

Use a clearly marked test with your own details. Check where the message arrives, who sees it and how they know someone is handling it. Review the confirmation from the customer's side as well. A submission screen alone does not tell you whether the message reached the right person.

Give the next step an owner.

Agree who responds and what happens when that person is unavailable. Keep the response expectation realistic and visible. If nobody owns the handoff, adding software may only move the same gap somewhere else.

Fix the smallest useful thing.

That might be clearer button text, a shorter form, a better notification or a shared reply draft. Keep the current tools when they can do the job. Write down the missing capability before comparing replacements.

Review it after a real week of work.

Look for missed inquiries, repeated questions and time spent chasing information. Use those observations to decide what needs attention next. The aim is a dependable process your team understands, not more software to manage.
